These Terms of Service ("Terms") govern registration, enrollment, and payments at
Hua Gen Chinese School ("the School," "we," "us"),
including through our Parent/Family Portal. By creating a portal account, enrolling a student, or placing an
order, you agree to these Terms.
1. Enrollment & the trial period
- Submitting a class application enrolls your child when a seat is available. Some classes begin with a
trial period, shown at the time of enrollment — the trial lets you confirm the class is
the right fit.
- If the class is not a fit, request a drop from the Parent Portal before the trial period ends
for a full refund of that class's tuition.
- Class placement, schedules, rooms, and teachers may be adjusted by the School when necessary.
2. Waitlists
- When a class is full, your child may be placed on a waitlist in order of application.
- Payment does not advance a waitlist position or guarantee a seat. Seats are offered in
waitlist order, subject to teacher approval.
- If the School cannot offer a seat, tuition paid for that class is refunded in full.
3. Tuition & payments
- Online payments are processed securely by Stripe (card, Apple Pay, or U.S. bank transfer /
ACH). The School never stores your card or bank details.
- Bank transfers (ACH) take 1–4 business days to clear. Enrollment tied to an ACH payment is
finalized when the transfer settles; if a transfer fails, the balance remains due and you will be asked to
pay again.
- Enrollments placed partway through a semester may be prorated according to the School's
current schedule, shown at checkout.
- Offline payments (cash or check at the office) are recorded by School staff.
4. Late payments
Balances that remain unpaid after their due date may incur a late fee under the School's
current fee schedule, and the School may pause an enrollment until the balance is settled.
5. Refunds, withdrawals & textbooks
- Drops requested before a trial period ends: full refund of that class's tuition.
- Withdrawals after the trial period (or where no trial applies): refunds, if any, are prorated at the
School's discretion per its current policy.
- Textbooks and materials are non-refundable once distributed.
- Approved refunds are returned to the original payment method where possible.
6. Health, safety & liability
- Families must keep emergency-contact and relevant medical information (such as allergies)
current in the Parent Portal.
- Parents/guardians are responsible for timely drop-off and pick-up of students.
- To the extent permitted by law, families agree to release and hold harmless the School, its volunteers,
and staff from liability for injuries or losses arising from ordinary participation in School activities,
except where caused by the School's negligence or willful misconduct.
7. Photos & student work
The School may photograph classes and events and may display student artwork or class photos in School
publications, on the School website, and in community showcases. If you prefer your child not be photographed
or featured, notify the School office in writing at
support@huagen.org.
8. Community conduct
Students and families are expected to treat teachers, volunteers, students, and facilities with respect.
The School may decline or discontinue enrollment for conduct that endangers others or materially disrupts
classes; in such cases any refund is handled under Section 5.
9. Privacy
Our handling of family and student information — including the protections around our AI-powered classroom
tools — is described in the Privacy Policy, which is part of these Terms.
10. Changes to these Terms
The School may update these Terms from time to time. The "Last updated" date above reflects the current
version; material changes will be announced to enrolled families. Continued enrollment after a change
constitutes acceptance.
